How to invoice as a freelancer
Freelancers invoice directly, which means getting the details right yourself. A professional invoice gets paid faster and makes tax time easier.
Set your terms first
Agree rates, deposits, payment terms and late fees in writing before you start. Put them on every invoice.
What to include
- Your name or business name and contact details
- Client name and billing contact
- Invoice number and date
- Clear descriptions of the work, with hours or fixed prices
- Total, due date and how to pay
How often to bill
Bill at project milestones for larger work, monthly for ongoing work, and on delivery for small jobs. Ask for a deposit on new clients.
Keep records
Save every invoice and receipt. They help with taxes, disputes and applying for loans.
Questions
Do freelancers need to charge tax?
It depends on where you and your clients are and what you sell. Ask a local accountant or check your tax authority.
What if a client does not pay?
Send a reminder, then a firmer notice. Keep the contract and invoices handy. Consider a collections step only after that.
