Free rent receipt template

A rent receipt confirms that a tenant paid for a specific period. It protects both sides, especially when rent is paid in cash or by a method that leaves little record.

    What to include

    • Landlord and tenant names, and the rental address
    • The rental period the payment covers
    • Amount received and the date
    • How it was paid, such as cash, check, or transfer
    • Any balance still owed

    Tips

    • Give a receipt every time rent is paid in cash.
    • Keep a copy. A numbered series makes your records easier to check.
    • Name the month the payment covers, not only the date you received it.

A rent receipt, step by step

Start with the names of the landlord (or property manager) and the tenant, then the full address of the unit. Add the period the payment covers, such as October 1 to October 31, 2026. This is the detail people forget, and it is the one that settles most disputes about which month was paid.

Next record the amount received, the date you received it, and how it was paid. If part of the rent is still owed, write the remaining balance in the notes so the receipt tells the whole story. Sign it if you can, and give the tenant their copy at the time of payment.

Why a receipt matters even when you use bank transfers

A bank record shows that money moved. It does not always show what the money was for. A receipt names the unit, the month, and the amount, which helps when a tenant applies for a loan, a landlord is audited, or a deposit deduction is questioned later.

Receipts matter most for cash and for payments in pieces. If a tenant pays half on the first and half on the fifteenth, issue a separate receipt for each payment and note the running balance.

    Good habits for landlords

    • Number receipts in order, for example RENT-1001, RENT-1002, so a missing number is easy to spot.
    • Keep a copy of every receipt with the lease, in one folder or one set of files.
    • Record late fees on their own line instead of mixing them into rent.
    • Never write over or edit a receipt after you hand it out. Issue a corrected one and say it replaces the earlier one.

What a rent receipt is not

A receipt is proof of payment. It is not a lease, and it does not change what the lease says about late fees, notice, or deposits. Rules about receipts, deposits and records differ by state and city, so check your local landlord and tenant rules if you are unsure.
