    What to include

    • The invoice or job number it settles
    • The total that was paid and the date it was received
    • How it was paid
    • A statement that nothing further is owed
    • Your business name and contact details

    Tips

    • Reference the original invoice number so the two documents link up.
    • Only issue it after the payment has actually cleared.
    • Keep a copy with the original invoice.

What a paid in full receipt proves

A paid in full receipt states that a debt or invoice has been settled completely and that nothing more is owed. It is stronger than an ordinary receipt because it closes the matter. Use it when the final payment arrives on an invoice, a loan between friends, a payment plan, or a contract with several installments.

    Wording that avoids disputes

Name the thing that was paid for, give the original total, list the payments received, and state that the balance is zero. A clear line such as Paid in full on October 19, 2026. Balance due: $0.00 leaves no room for argument.

If you accepted less than the full amount as a settlement, say so plainly, for example Accepted as full and final settlement of invoice 1042. That wording matters, so be sure it is what you mean before you sign.

    For payment plans and installments

    • Issue a receipt for every installment and keep a running balance on each one.
    • Send the paid in full receipt only after the last payment has cleared, not when it is promised.
    • Reference the original invoice or contract number so the two documents can be matched.
    • Keep both the invoice and the final receipt for at least as long as your tax rules require.

    Questions

    When should I send one?

After the final payment is received and has cleared. For checks, wait until the funds are available.

    Does it replace the invoice?

No. The invoice records what was owed. The receipt records that it was paid.
