    What to include

    • Who paid and who received the money
    • The date and the amount
    • What the payment was for
    • A receipt number to keep your records in order
    • Any balance still owed

    Tips

    • Write receipts at the time of payment, not later.
    • Keep a copy for your own books.
    • For business income, check your local record keeping rules.

When a cash receipt is worth writing

Cash leaves no trail by itself. A cash receipt gives both sides a written record of what was paid, when, and for what. It is worth writing any time cash changes hands for something that could matter later: a deposit, a repair, a private sale, tuition, or a payment on a debt.

For small everyday purchases a till receipt is enough. For anything that you might need to prove at tax time, to a landlord, to a bank, or in a disagreement, write it down.

    What to include

    • The date and a receipt number.
    • Who paid and who received the money, with names and contact details.
    • The exact amount, written in numbers and, for larger sums, in words as well.
    • What the payment was for, in plain words, such as Deposit for kitchen repair.
    • Whether it is a full payment or a partial one, and any balance still owed.
    • A signature from the person receiving the cash.

Keep it clean and keep copies

Fill in every line and do not leave blank space where words could be added later. Make two copies and let each person keep one. If you use this tool, download the PDF, print it twice, and sign both.

For a business, file cash receipts with your other records. Tax authorities generally expect businesses to keep records that support income and expenses, and a numbered series of receipts makes that much simpler.

    Cash payments and the law

Large cash payments can trigger reporting rules in some places, and some kinds of payment may not be allowed in cash at all. Check the rules where you live if the amount is large. This page is general information, not legal or tax advice.

    Questions

Do I need a receipt for small cash payments?

It is good practice for any amount you may need to prove later. For business income you will want a record regardless.

    Should both people sign?

A signature line can help, but it is not what makes a receipt useful. The details are.
