What to include
- Client name and event name and date
- Menu or package and the price per guest
- Guest count the invoice is based on
- Service staff, rentals and delivery fees
- Service charge or gratuity, labeled clearly
- Deposit received and balance due
Tips
- Say whether the guest count is final.
- Label any service charge so it is not mistaken for a tip.
- List rentals separately because they are often taxed differently.
Questions
How do I show a service charge?
Use its own line with a clear name and percentage. Check local rules about how service charges and gratuities are taxed.
What if the guest count changes?
Bill the count agreed in your contract and note any change on the invoice with the date it was confirmed.
