What to include
- Pet owner's name and your contact details
- The dates or the date range of each walk, visit or stay
- The service, such as 30 minute walk, drop-in visit or overnight stay
- Rate per visit, with extra charges for additional pets
- Holiday, last minute or after hours fees, if you charge them
- Payment terms and how the owner can pay
Tips
- Invoice weekly or monthly for regulars so you are not chasing small amounts.
- List holiday and short notice fees as their own lines.
- Add the pet's name to each line to avoid confusion in multi-pet homes.
What to list on a pet care invoice
List each walk or visit by date, along with the pet's name and the service. Owners tend to pay faster when they can see exactly what happened. For regular clients, invoice weekly or monthly and group the dates so the invoice stays short.
If you charge differently for extra pets, holidays or short notice, show each as its own line so nothing surprises the customer.
Pricing and policies worth putting in writing
- Rate per walk by length, such as 20, 30 or 60 minutes.
- Extra pet and extra stop fees.
- Holiday and peak day rates.
- Cancellation window, such as 24 hours notice.
- Key handling, emergency vet authorization and who pays vet costs.
Keeping clean records
Keep a simple calendar of visits and photos or notes, since they double as proof of the service if a question arises. Invoice on a regular schedule and send a receipt once paid. If you take tips, track them separately so your income records stay accurate.
Questions
Should I charge extra for a second dog?
Many walkers do, either a lower rate for the second dog or a flat add-on. Put your policy in your service agreement and show it as its own line.
Do I need insurance and a contract?
Many professional walkers carry liability insurance and use a simple service agreement. Check what applies where you work.
