What to include
- Customer name and the address of the job
- Each tree or task, such as remove oak, trim maple, or stump grinding
- Labor, equipment and crew time if you bill by the hour
- Haul away, chipping and cleanup, either included or as separate lines
- Permit fees or disposal charges, if any
- Deposit received and the balance due
- Your insurance and license information if required locally
Tips
- Refer to your written estimate so the work matches what was quoted.
- Take before and after photos and keep them with the invoice.
- Say whether cleanup and wood removal are included. It is a common point of disagreement.
Describing the work clearly
Tree work is varied, and customers often do not know what the price included. Name each tree or task on its own line, such as Remove 40 ft pine, rear yard, and say whether cleanup, chipping and hauling are included. This heads off most disputes.
Estimates, deposits and extras
- Reference the written estimate and its date.
- Take a deposit on larger jobs and show it as a credit on the final invoice.
- List extra work, such as an additional tree, as a separate line with the customer's approval noted.
- Add permit or disposal fees on their own lines.
Protecting yourself
Photograph the site before and after the work. Keep a copy of your estimate, insurance details and any signed approval with each invoice. If the work affects a neighbor's property or needs a permit, note who is responsible. Local rules differ, so check what applies where you work.
Questions
Should stump grinding be a separate line?
Yes. It is often a separate job and price, and listing it separately makes the invoice easier to read.
When should I collect payment?
Many tree services take a deposit for large jobs and collect the balance on completion. Put your terms on the estimate and the invoice.
